Personal Data We Collect
- Contact details you give us: name, business/pharmacy name, email address, phone number.
- Enquiry details: the products, models, grades, and quantities you're interested in, buyback device details, and the content of any message you send us.
- Marketing preferences: whether you've agreed to receive updates from us, and any opt-outs you've requested.
- Technical data collected automatically when you browse our site (such as IP address, browser type, and pages visited) via standard hosting and analytics logs.
How We Use Your Data, and Our Legal Bases
Under UK GDPR, every use of your personal data must have a lawful basis. Here's how that applies to what we do:
- Responding to your quote request or enquiry — necessary to take steps at your request before entering into a contract, and our legitimate interest in replying to enquiries you have proactively made.
- Processing an order, sale, or device buyback — necessary to perform our contract with you.
- Following up on a quote or enquiry, and marketing similar products or services to business contacts — our legitimate interest in maintaining and growing business relationships (see “Legitimate Interests” below), or your consent where you've opted in.
- Improving our website and service — our legitimate interest in understanding how our site is used and keeping it secure and reliable.
- Accounting, tax, and legal compliance — necessary to comply with our legal obligations.
- Preventing fraud and misuse — our legitimate interest in protecting our business and customers.
Legitimate Interests We Rely On
Where we rely on “legitimate interests” (Article 6(1)(f) UK GDPR) as our legal basis, we have considered:
- Purpose: why the processing is necessary — for example, responding to enquiries you've raised, following up on quotes, and telling existing and prospective business contacts about Auto ID and barcode scanning equipment relevant to their organisation.
- Necessity: whether there is a less intrusive way to achieve that purpose.
- Balancing: we have weighed our interests against your rights and freedoms, and consider this processing to be fair, reasonable, and proportionate — particularly as it concerns business-to-business communications about products and services you would reasonably expect us to discuss with you.
You have the right to object to processing based on legitimate interests at any time, free of charge — see “Direct Marketing” and “Your Rights” below.
Direct Marketing & Electronic Communications
We may contact business contacts — such as pharmacy owners, procurement staff, and other trade contacts — by email or phone about products and services relevant to their organisation, relying on our legitimate interest in maintaining and growing business relationships.
Under the UK Privacy and Electronic Communications Regulations (PECR), the strictest consent rules primarily protect individual and sole-trader subscribers rather than corporate contacts. Where PECR consent or a “soft opt-in” is required — for example, when contacting an individual about products similar to ones they've previously enquired about or purchased — we only do so on that basis, and always offer a clear way to opt out.
Every marketing email we send includes a free, one-click way to unsubscribe. You can also opt out at any time by:
- Clicking “unsubscribe” in any marketing email we send;
- Emailing legal@scannervalley.com with “Unsubscribe” in the subject line; or
- Calling us on 01270 433033.
Once you opt out, we stop sending marketing communications and keep a record of your preference so we don't contact you again by mistake — except where we still need to contact you to fulfil an order, respond to a request you've made, or meet a legal obligation.
How Long We Keep Your Data
- Enquiry and quote data: up to 24 months after your last contact with us, so we can follow up and maintain accurate records.
- Order and financial records: up to 6 years, to meet UK tax and accounting obligations.
- Marketing opt-outs: kept indefinitely (in a suppression list) so we reliably honour your preference not to be contacted.
Who We Share Your Data With
We do not sell your personal data. We may share limited data with:
- Trusted service providers who help us run our website, email, and business operations (for example, hosting and email delivery providers);
- Courier and logistics partners, to deliver orders;
- Professional advisors such as accountants or solicitors, where necessary; and
- Law enforcement or regulators, where we are legally required to.
International Data Transfers
Some of our service providers may process data outside the UK. Where this happens, we ensure appropriate safeguards are in place, such as UK adequacy regulations or approved transfer mechanisms.

Children's Privacy
